One address takes everything the Council receives — nominations, applications, corrections, objections, research enquiries, reports of a breach, and requests to be taken off the list. There is no form on this site, and nothing you write is loaded into PrepGraph's commercial systems.

Status

The Council is being constituted. Its founding cohort is forming and no Council publication, roundtable or research output has yet been produced. Everything described as planned is a commitment of intent, not a record of work done.

Where to write

One address, and no form

A form has to post somewhere, and the system nearest to hand is PrepGraph's — which would make a nomination, a question or an objection the opening entry of a commercial record. The independence policy forbids that, so the Council uses an address, and the undertaking behind it is written down rather than implied.

Nominations, applications, corrections, objections, research enquiries, breach reports and requests for removal all go to this one address. It is read by the secretariat, and matters of substance are put to the Founding Chair.


Secondary channels

Both are the same number, and both are PrepGraph's. The Council publishes no telephone line of its own and no personal contact for the Founding Chair. A call or a message reaches PrepGraph staff, so anything of substance — a nomination, an objection, a concern that a rule has been broken — should be put in writing to the address above, where the deadlines on this page apply.

What to write about

Seven reasons people write. Each link opens an email with the subject line already set; each commitment beside it is quoted from the instrument that made it, and named so it can be checked.

  1. Nominate a founding member

    Write to [email protected]. For a nomination, give the person's name, school or institution, role, and a few lines on which constituency and which pillar their experience would strengthen. Self-nomination is welcome and treated no differently.

  2. Apply to be a member or Expert Fellow

    Everyone else who wants to contribute is considered as an Expert Fellow or as an Observer. Fellows are appointed for expertise and do not vote; Observers attend, are minuted by name and do not vote. Membership is individual and held in a personal capacity, so joining does not commit, badge or represent your school. More than one person from the same school may join.

  3. Propose a research collaboration

    Agenda not drafted

    The first task under the research pillar is an agenda, not a study, and it is published in this release as a founding draft. The Research Agenda and Ethics Framework sets out which questions about AI and learning in Indian schools are worth answering, which can be answered honestly at Indian school scale, and the ethical conditions under which the Council would attempt any of them. No study has been designed, funded, approved or begun, and the Council holds no data and has produced no finding.

    Any study that follows is voluntary, consented and specific. A participating school's data belongs to that school. The Council receives only what the registered protocol lists, uses it for that study alone, and returns or deletes it when the study concludes. A completed readiness self-assessment sheet is never collected, in any study, by any route.

  4. Report a breach of the independence policy

    Including a breach by PrepGraph, by the secretariat, or by a school claiming something the Council has not given it.

Acknowledged in five working days. Determined by the voting members at their next meeting, or, while fewer than seven are in office, by the Reviewer within thirty days.

  5. Request a correction

    Write to [email protected] setting out what is wrong and why. Correspondence is acknowledged within five working days and answered within thirty days, which is the service standard for everything sent to that address.

    A factual error is corrected within thirty days with a dated note that stays attached to the document and says what changed. Published work is never amended silently. A substantive methodological objection receives either a published response or a published statement that the Council does not intend to respond and why. A member who disagrees with a document they contributed to may have a dissenting note of up to three hundred words published alongside it, in their own words, unedited except for length and law.

  6. Ask a media question

    Press enquiries reach the secretariat at the same address. The Council keeps no press office and no separate media line.

    To any request for a member count, school count, pilot number or research claim: there is none yet, and there will be no number until there is something to count.

  7. Ask to be removed from any Council list

    Removal from the list and deletion of the Council record are separate undertakings, given in separate instruments. Both are confirmed to you in writing.

Not through the Council. Member and participant contact details are held on a list separate from PrepGraph's commercial systems and are not loaded into them. They are not used for sales outreach, campaigns or lead scoring, and they are not sold, rented or shared.

What the secretariat does with an email address

The Council holds personal data because people take part in its work, and for no other reason. It collects name, role, institution and one contact address. It does not collect procurement intent, budget, technology in use, contract dates or renewal timing, and the secretariat is instructed to discard such information even when a participant volunteers it in a meeting.

Council data is not sold, rented, licensed or shared with any third party, except a processor engaged under written contract to provide a service to the Council, such as hosting or the distribution of a circular; processors used in the year are named in the annual transparency statement. Council data is not transferred into PrepGraph's commercial systems in any circumstances. What becomes of it on a change of control of PrepGraph, on an insolvency or on a sale of assets is settled by the entrenched Charter Article that constitutes PrepGraph as bare trustee for the Council, and this policy can neither vary nor soften that Article.

Minimum collection
Name, role, institution, one contact address. Nothing that would be useful to a salesperson, and nothing recorded about budgets, contracts or renewal dates.
Retention limit
Contact and participation records: participation plus twenty-four months, then deletion, or sooner on request. Declarations, minutes, papers and outputs: seven years, as the Charter requires. Research data: the periods in the research instrument.
Named processors
Any third party that handles Council data is engaged under written contract and named in the annual transparency statement.
Standard, not certification

Retention runs by category rather than by one rule, because the categories are governed by different instruments. Contact and participation records are kept for the period of participation and twenty-four months afterwards, then deleted. Declarations of interest, minutes, papers and approved outputs are retained for not less than seven years, as the Charter's Article on meetings, records and minutes requires. Research data is retained for the periods set by the research instrument. A deletion request reaches contact and participation records; it does not reach the records the Charter requires be kept, and a person who asks is told which is which at the time of the request rather than afterwards.

The dates on this page are the ones to hold us to.

Ten working days to acknowledge correspondence; five to acknowledge a concern marked for the Chair and thirty to determine it; fifteen days to take you off the list. If the concern deadlines pass, the person who raised it is free to publish it in full, and the lapse is itself recorded in the annual transparency statement.
